Job Summary

The Speaker Bureau Program Coordinator will support the Program Manager and Speaker Bureau Account Lead in providing full-service program management services for virtual and live speaker bureau and patient programs.

Job Responsibilities and Skills

  • Demonstrated ability to provide high-quality customer service to speakers, sales teams, including clear and professional communication, proactive issue resolution, and timely follow-through on all requests.
  • Assists with venue sourcing, catering orders, and other duties assigned by the program managers.
  • Coordinates ground or air transportation and hotel accommodations with our travel vendor for speaker bureau programs.
  • Conducts a review of the closeout process of speaker bureau programs including QC of venue receipts, sign-in-sheets, and expense reimbursement requests
  • Assists with updating program documents for individual events
  • Maintains good understanding and adherence to client and industry compliance guidelines
  • For virtual events, provides assistance and guidance with connection issues, as well as basic technical support during programs
  • Assists with new hire training via on-the-job mentoring
  • Represents the company and our clients in a professional manner, at all times
  • Collaborate with internal teams to assist with other projects and duties as assigned
  • Performs these and other duties in adherence with the standards and expectations of Woven.

Minimum Qualifications

  • Bachelor’s degree preferred, or minimum of 1- 3 years of relevant experience
  • Strong administrative capabilities
  • Computer skills: Microsoft office, including strong Excel skills
  • Excellent written and verbal communication
  • Positive contributor to the team by supporting and executing programs as needed
  • Ability to multi-task, prioritize workload, and meet deadlines, and be very well-organized to manage complex projects with many moving parts
  • Travel: Optional
  • Location: New York, NY or Remote
  • Experience Desired: 1- 3 years

A sense of humor is considered an important quality as is a natural, optimistic attitude. The ability to work in a changing environment with competing deadlines is essential to the role.
